Primary Function

The Marketing Assistant, will provide all aspects of administrative support to all areas of the marketing department.  This is an integral and varied role will work cross-functionally on the planning and support of marketing projects and ad-hoc duties when required. Reporting to the Head of Marketing, working with the team and stakeholders across the organisation, this role requires initiative, multi-tasking skills and strong coordination to support and add value to the functionality of the department.  

Key responsibilities

  • To cover all administration tasks and support on marketing initiatives within the department.
  • Assisting other members of the team, Sponsorship Manager, Events Manager and Design with ad hoc assistance when required.
  • Liaise with and maintain good working relationships with relevant key stakeholders and colleagues within the organisation to prepare information as appropriate.
  • To manage and coordinate all of the printing requests for PFEW HQ and wider branches, via the print room inbox.
  • To manage and assist with queries from the marketing team inbox.
  • To keep a running inventory of marketing collateral to ensure availability and company requirements are met.
  • Support the events team with administration tasks during the lead up to and on-site at events.
  • To ensure marketing folders are maintained, consistent and accessible.
  • To update relevant marketing information on the PFEW intranet site (The Hub).
  • Liaise with and build relationships with key suppliers including printers, merchandise providers.
  • Assist with budgets and contracts relating to marketing activity.
  • Manage the purchase order and invoice process for the team.
  • Maintain an inventory of all promotional merchandise which can be used throughout the organisation.
  • Maintenance of the events pages on the PFEW website.
  • To support the team with coordination of the Microsoft Dynamics platform

Additional job requirements

  • The post-holder will be required to travel with reasonable notice. This will involve mobility to travel either by own car or public transport, and overnight accommodation if more than one day delivery.
  • Employees are required to undertake training in new methods and procedures and to optimise skills and knowledge via the training and development provided.

Please note that these duties and responsibilities are not exhaustive and may be changed from time to time in line with the reasonable requirements of the Police Federation and as directed by the Line Manager, on behalf of the National Secretary.

Person Specification

Essential skills:

  • Used to managing multiple projects on a day to day basis whilst also being able to forward plan.
  • Experience of working in a varied events role, managing a diverse workload, that at times has conflicting priorities, to ensure deadlines are met
  • An effective team player with the ability to manage complex stakeholder relationships
  • Flexible and willing to take on additional tasks to support the marketing team
  • Desire to learn new skills in the role and adapt with the organisation
  • Ability to use initiative and work autonomously with little intervention
  • Customer-focused with excellent organisation skills
  • Attention to detail with a proven ability to work accurately under pressure
  • Experience in using Microsoft Excel, Word, PowerPoint and Outlook
  • Proven experience in organisational/admin role
